Privacy Policy

In short: we collect only what we need to reply to your enquiry and look after you as a client. We don't sell your information. You can ask to see it, correct it or stop our marketing at any time by emailing anna@scaleupstudio.co.nz.

Scale Up Studio is a sole trader business based in Taupō, New Zealand ("we", "us"). This policy explains what personal information we collect, why we collect it, who we share it with, and what you can do about it. We follow the New Zealand Privacy Act 2020.

What we collect

• Contact details: your name, email address and phone number.
• Business details: your business name, type of business, location and the best time to reach you.
• What you tell us: your answers to our questions, the numbers you enter in our calculator, and any messages, texts or emails you send us.
• Bookings: the date and time of any appointment you make with us.
• Calls with our AI receptionist, James: what is said on the call, a written transcript and summary, and, where we keep one, a recording.
• Publicly available business details: such as a business's name, address, phone number and website listed online, which we use to contact businesses about our services.
• Basic technical information (such as your browser and device) that our forms and booking tools need in order to work.

Why we collect it

• To reply to your enquiry and to set up or provide our services.
• To make bookings and send you reminders.
• To follow up with you about your enquiry.
• To send you marketing emails or texts, if you have agreed to receive them or where the law allows. You can opt out at any time.
• To improve our website and services, and to meet our legal obligations.

AI and automated systems

We use automation and artificial intelligence, including an AI receptionist, to answer calls, send texts and emails, and record enquiries. James will tell you he is an AI. Please don't give him sensitive details such as payment card numbers or health information. A member of our team reviews the details collected and follows up with you.

Who we share it with

We don't sell your personal information. We share it only with service providers who help us run our business, and only so they can provide their service to us. These include our customer management and website platform (HighLevel), phone and text message providers, email and calendar providers (Google), and AI service providers that process calls and messages.

Storing information overseas

Some of these providers store information outside New Zealand, mainly in the United States. We take reasonable steps to make sure they protect your information to a standard comparable to New Zealand's privacy laws.

Cookies and tracking

Our website and booking forms may use essential cookies that make forms and bookings work. We don't currently use analytics or advertising cookies. If that changes, we will update this policy.

Keeping your information safe, and for how long

We take reasonable steps to protect your information from loss, misuse and unauthorised access. We keep it for as long as we need it for the purposes above or to meet legal requirements, then we delete it or make it anonymous.

Your rights

You can ask to see the personal information we hold about you and ask us to correct it. You can also ask us to stop sending you marketing at any time. Email us at anna@scaleupstudio.co.nz and we will reply within 20 working days.

If you aren't happy with how we handle your information, please contact us first. You can also complain to the Office of the Privacy Commissioner (privacy.org.nz).

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
